Booking Conditions

We request that you read and understand the following conditions before confirming your booking with Convivial Trip. These terms form the basis of your contract with Convivial Trip (“us” and “Company”). By confirming your booking, you agree to these conditions and acknowledge that you have had the opportunity to review them.

Governing Law

These conditions are governed by the law in force in India, where bookings are made and processed. Any claims or legal actions against overseas suppliers may be governed by their terms and laws in their respective countries.

Confirmation of Services

Your booking is not confirmed until you receive a confirmation invoice from Convivial Trip. Acceptance of a quotation or booking request does not guarantee availability of the requested flights, tours, accommodation, or services.

Booking, Deposit, and Final Payments

To secure your booking, a non-refundable deposit of 25% of the tour price per person, plus full payment for airfares, is required within 7 days of confirming your arrangements. Please ensure that the names provided match exactly as they appear in your passport. Some tours and services may require a higher deposit, and payment terms may vary for special offers. Full payment for the tour is due between 90 to 60 days prior to departure, or as specified on your invoice. For bookings made within 100 days of departure, full payment is required immediately. If we are unable to confirm your reservation, any payments made will be refunded in full. By paying your deposit, you acknowledge and agree to these terms and conditions.

Price Guarantee

Prices listed are based on exchange rates as at 01 Jan 2025 and costs at the time of booking but are subject to change due to factors like exchange rates, fuel surcharges, taxes, or unforeseen increases by suppliers. The final price will be confirmed at the time of booking and held after full payment is received, excluding taxes or levies imposed by government authorities.

Amendments

If you wish to amend your booking, we will do our best to accommodate you, but changes may not always be possible. Amendments to confirmed itineraries will incur a fee of any supplier or airline penalties. Special airfares may be non-refundable or non-changeable.

Cancellations/Transfer of Booking

Cancellation fees are as follows:

  • 90 days or more before departure: Loss of deposit
  • 89-60 days before departure: 50% of the total tour cost
  • 59-45 days before departure: 75% of the total tour cost
  • 45 days or less before departure: 100% of the total tour cost
  • No show: 100% of the total tour cost

Cancellation and transfer requests must be submitted in writing and will be considered effective only upon receipt. Cancellation charges may vary for some products. No refunds will apply for unused or omitted services.

Cancellation, Changes to Stopover, and Ticketed Airfares

Airfare changes or cancellations will incur a USD 30 per person fee, in addition to any airline penalties. Once air tickets are issued, cancellation or changes are subject to airline rules and may be non-refundable. Convivial Trip is not liable for any air travel delays or disruptions.

Passengers Needing Special Assistance

We welcome passengers with disabilities but recommend you advise us of any special needs at the time of booking. You must travel with a companion capable of providing the required assistance. Convivial Trip is not responsible for any denial of services by third-party suppliers.

Not Included in the Tour Cost

Visa and passport fees, vaccinations, medical expenses, travel insurance, excess baggage, personal expenses, optional excursions, meals not included in the itinerary, tipping, and other personal services are not included in the tour cost.

Cancellation by Convivial Trip

Convivial Trip reserves the right to cancel any tour due to unforeseen circumstances. In such cases, we will offer substitute arrangements of similar nature, standard, and cost. If the substitute arrangements are not acceptable, a full refund, minus any third-party penalties, will be provided.

Special Deals and Multi-Tour Discounts

Discounts are applicable only to the lowest priced tour package when multiple tours are booked. Discounts cannot be combined with other offers. We reserve the right to change or withdraw these offers at any time.

Errors and Omissions

We reserve the right to correct errors in prices and services and will notify you as soon as possible.

Hotel Descriptions, Maps, and Photos

Descriptions, maps, and photos are for general information. Actual hotels, routes, and services may differ.

Accommodations and Bedding Configuration

Hotel rooms are typically lead-in or base-category unless specified. Double rooms may feature twin beds or a double bed, while triple rooms may offer a rollaway bed. Room configurations vary by hotel and may not meet expectations.

Special Requests

Any special requests, such as specific room types, dietary preferences, or seating, must be made at the time of booking. While we will communicate these to the supplier, we cannot guarantee their fulfillment unless explicitly confirmed.

Health and Fitness Requirements

A good level of fitness and health is required for participation in most tours. Extensive walking and mobility may be necessary. If you have any health conditions, you must inform us prior to booking. We reserve the right to prevent participation if your condition affects the group or tour.

Travelling with Children

In our partner hotels, children typically stay free when sharing a room with two adults, provided the child shares the bed with their parents. Extra bedding or meals may be charged separately. An additional room for a child is priced at the adult rate, even if the child is traveling without an adult. Children’s fares are available upon request. Please note, children under 16 can only join private tours and are not permitted on group tours. Convivial Trip takes no responsibility for the health, safety, or security of children during travel.

Passport, Visa, and Vaccinations

It is essential to familiarize yourself with the passport, visa, and health requirements for the countries you will visit. You are responsible for ensuring you meet all visa, health, and entry requirements. Convivial Trip and your travel agent are not liable for any loss or expense resulting from failure to comply with these requirements.

Travel Insurance

Travel insurance is not included in your tour package. It is a requirement that you purchase comprehensive travel insurance that covers, at a minimum, your holiday package cost, medical expenses, lost luggage, and cancellation. Convivial Trip is not liable for any costs or losses that arise in relation to your travel.

Local Laws

All participants are expected to adhere to the laws and regulations of the countries they visit. Non-compliance will release Convivial Trip from any obligations under the contract.

Behaviour

We expect all passengers to behave in a manner that ensures the comfort and safety of everyone involved. If disruptive behaviour occurs, the tour may be terminated immediately. Convivial Trip is not responsible for any costs, refunds, or compensation resulting from such behaviour, and you may be liable for any additional expenses incurred.

Luggage Limits

While every effort is made to ensure the accuracy of this brochure, circumstances beyond our control may require changes to itineraries, accommodation, or costs. If necessary, Convivial Trip reserves the right to make changes to hotels or services, and any updates to terms will be communicated to you as soon as possible.

Travel Documentation

Please ensure final payment is made by the due date to allow us to process and send your travel documents. Documents will generally be provided two weeks before departure. Early requests may be accommodated but are not guaranteed unless full payment has been received.

Travel Agent Responsibilities

It is the travel agent’s responsibility to ensure that you have the correct travel documents and are aware of all terms and conditions related to your booking.

Passenger’s Responsibility

While we make every effort to select high-quality accommodation, the standard may vary across different countries. It is your responsibility to notify us of any accommodation concerns at the time of booking. Changes after confirmation may incur penalties.

Smoking

Smoking is only permitted in designated areas. Smoking inside hotels, vehicles, trains, and other indoor locations is not allowed.

Air Tickets and Seat Allocation

Frequent flyer miles may not be applicable for certain airfares. Seat selection is not included in the quoted price and may not be available. Changes to your flight schedule are subject to airline policies, and Convivial Trip has no control over these.

Refusal of Carriage

Convivial Trip reserves the right to refuse carriage to passengers who pose a safety risk or behave unsociably. This includes, but is not limited to, passengers unable to undertake the tour due to physical or mental conditions, or who carry prohibited substances.

Gratuity/Tipping

Tipping is expected in many of the countries where we operate, as it is a common way to supplement workers’ earnings. We provide a prepaid tipping option for tour managers, local guides, and drivers, but you may tip more if you wish. Carrying small denominations of local currency is advisable.

Personal Belongings and Lost Items

We advise keeping valuables to a minimum and carrying them in your hand luggage, along with any essential items such as medications or cameras. You are responsible for your belongings, and we strongly recommend comprehensive travel insurance to cover any loss.

Disruption to Itinerary Arrangements

We strive to adhere to the published itinerary, but sometimes events outside our control, such as weather conditions, may cause disruptions. We recommend purchasing travel insurance to cover any costs resulting from changes to your itinerary. Convivial Trip is not liable for direct or indirect costs from these events.

Shopping and Other Services

Shopping excursions are part of some tours, but we do not guarantee the quality of goods purchased in local bazaars or shopping centres. Participating in recreational activities outside the itinerary is at your own risk.

Seatbelts and Baby Seats

We encourage passengers to wear seatbelts whenever available and remain seated while the vehicle is moving. If traveling with children, baby seats are available in some locations on a first-come, first-served basis. You may bring your own baby seat, but we cannot guarantee it will fit in the vehicle provided.

Complaints and Claims

If you are dissatisfied with any part of your tour, please immediately report the issue to the tour manager or our 24/7 emergency helpline. For unresolved issues, follow up with us via email within 28 days of completing the tour. Failure to do so may affect your eligibility for compensation.

Liability Disclaimer

Convivial Trip is not responsible for any loss, damage, or issues arising from the services provided by third-party suppliers (e.g., hotels, airlines, transport providers). We will do our best to operate tours as advertised but reserve the right to make reasonable changes to itineraries and services as needed.

Privacy and Consent

We collect personal information to process your booking and send you updates about our services. By booking with us, you consent to the use of your photos in marketing materials unless you inform us otherwise at the time of booking. We respect your privacy and manage your data according to our privacy policy.

Force Majeure

If unforeseeable events such as war, natural disasters, or pandemics prevent us from providing the services outlined in your booking, Convivial Trip may need to modify or cancel your trip. In such cases, we will work with you to offer alternative arrangements, credit, or refunds for a portion of your trip costs, though some losses may be unavoidable.
